segmenting authority files for Horizon

Hello, We are just starting the authority cleanup process. We are a small health science college on Horizon 7.3.3. We have only 14,076 bibs and 57,735 authority records. I can't figure out if we should request our authority files be returned segmented into name,subject, series and title. Can anyone help me with this? Thank you. Questionnaire on enhancements referred to in July 2008 Newsletter

Folks: I never received the abovementioned questionnaire. The chief concern we have at The University of Western Ontario is the death date fix, currently an extra cost item, but being considered as an enhancement. We would strongly urge Backstage to make the death date fix an enhancement as soon as possible. Other vendors who offer authority control have done so. Horizon 7.3.4 import of new authorities

Hi, We are on Horizon 7.3.4 and recently completed an import of new authorities (subject, author, series...separately) and new bib records after Backstage performed their magic on all the records. I have discovered that we now have a tremendous amount of blind authorities and beginning the process of deleting them when I discovered something. The new authorities loaded from Backstage were imported with "multiple use" coding instead of "single use" in the 008 field. From what I can tell quite a lot of the new authorities with the "multiple use" coding did not overlay the single use coding we started with. This means that if I delete all the blind authorities I will delete a lot of the new records from Backstage. If anyone has had experience with this or has any suggestions, I would be grateful. I do have a call into SirsiDynix as well. Just thought I would cover all my bases! exporting bibs from Horizon ILS

Hello, We are embarking on an authority control project for the first time with our Horizon (v.7.4.1) database. In order for BackStage to assess our records, we need to provide them with a sample of about 1000 bibs that are representative of the database. I'm looking for BackStage clients that are also SirsiDynix Horizon users, and who have gone through the export/import process with Horizon bibs. We're specifically looking for some suggestions on how to export the 1000 sample bibs from Horizon along with any pitfalls to avoid. The Hz export function seems to work optimally only with small batches of 200 of fewer records. Anything more will have to be done with the Horizon utility, Marcout, which is not a problem in itself. The complication is that what we need is not so simple when the criteria is not as straightforward as selecting a bib # range (e.g. exporting bib # 1001 to 2001). Our export criteria includes an exclusion of all acquisitions records and a small batch of bibs with Dewey call numbers. We would also like to generate a random number of bibs after the exclusions, or at least a representative sample of the database with x % of book bibs, x% of serials bibs etc. Total bib count in our database is approximately 250,000. We could contract SirsiDynix to take care of all the export/imports in the authority control project, but with a very tight budget, we'd like to try to do it ourselves first. Excluding minor changes from the Change Report (R03)

Dear Backstage Authority Control Client, Your wish is our command! Backstage Library Works is happy to announce an option for the Change Report (R03). You now have the choice to ignore ending punctuation and/or indicator changes in the authority record Change Report (R03). If you choose this option, an authority record which has only been changed by the addition/removal of punctuation or indicator changes will not be reported. You may choose either of these options independent of one another or in conjunction with each other. We believe that this will be particularly helpful with the Library of Congress' current project of punctuation and indicator cleanup. It is our policy to report the broadest amount of changes made to your system. We understand that this may mean there may be too much to review so we are happy to offer this as an option to you. If you would like either or both of these options applied to your on-going reports please contact your Project manager. Of course there is no additional charge. Concerning the Death Date! Backstage Library Works currently has custom available to you that would automate the matching of the death date when added to your bibliographic heading. It is not part of the standard software and because of the set-up involved, there is a charge for this service. However, our plans are to create an enhancement that will be part of the standard software. It is high in the queue, but I do not have a projected release date for this enhancement. If you are interested in running the custom it is $350 set-up and $350 each time it is run. So your first run will cost $700 and each run after will be $350. quarterly cleanup tips??

Has anyone developed/discovered any techniques to speed up cleanup for the quarterly authority updates from BSLW? We get a list of 6,000 changed headings each quarter that have to be reviewed after loading the changed MARC authority records. Our III system replaces the changed authority records but we have to change the headings in bib records manually. There's no way to automate the process (Global Update for individual headings helps a little), but is there a way to speed up the review of headings in the reports? The vast majority of headings don't require updates, as we know, but I would like a way to quickly zero in on those that do, like the headings where a death date is added. It's frustrating to have to review 6,000 headings when only 150 bib. records need changing. In other words, I am looking for a way to quickly identify the few changed authorities that also have headings in our bib. records that need to be changed. The Demise of the 440 tag: MARS 2.0 Authority Processing & MARC Proposal No. 2008-07: June 6th 2006, MARC Proposal No. 2008-07 presented by MARBI Committee will make field 440 obsolete and will redefine the first indicator value "1" of the 490 field to mean, "Series traced in 8XX field". Backstage Library works all along has had parameters in place to accommodate the change. However, to date, our standard process will collapse the 490/830 to a 440. In the near future Backstage will change the standard process to not collapse the 490/830 but until the change has been fully accepted by our clients in the library world collapsing of 490/830 to 440 will remain the standard. We at Backstage understand that many of you may desire to move forward with the change and may no longer want the collapse to 440 to occur. What we need you to do if you are ready to make that change now is to contact your project manager at Backstage and let them know that you would like to move forward with proposal No. 2008-07 and no longer collapse the 490/830 tag to 440. There will be no fee incurred for this change. If you are interested in retrospectively changing your 440 to 490/830 please indicate that to your project manager. We will need you to send in your bib records with 440 tags. We will reprocess them at on-going Current Cataloging rates. Re: [BSLWAC] Loading DEL files into III

Hello, I was wondering if anyone knows how to or has successfully loaded the DEL file into the III system. Since the changes to the Backstage website, where the files are saved to your desktop instead of FTP'ing them from backstage to your site, I have had trouble figuring this out. The NAME and SUB files should be fine to load as we did before using Data Exchange. Currently,using Data Exchange, we have no line in the 'Select Process' option that allows you to load a DEL file. Does one need to be created now that the files are not loaded using FTP? This is probably a really easy question to answer but I have never loaded these files before. I appreciate anyone's help.
